Setting Up Junk Removal Software: Trucks, Crew PINs, Services and Clients

Setting up junk removal software sounds like a project. Most of it is typing in things you already know: your trucks, your crew, your prices and your customers. Done in the right order, a small junk company can be set up in an afternoon and running real jobs the next morning.

Before You Start

If you do both homeowner and commercial work, read Residential and Commercial Junk Removal in One System first. It'll help you decide how to set up property managers and realtors before you start entering clients.

It also helps to click around the live demo first. It's a fully stocked sample junk removal company with jobs, trucks, clients and invoices already in it, and you can explore it with no signup. Seeing a finished setup makes your own easier.

Have these handy: a list of your trucks, your crew members' names and phone numbers, your current price list, and your customer list as a spreadsheet if you have one.

Step 1: Company Details

Start your free trial and fill in the basics: company name, contact details, your yard address and your logo. The yard address matters, because auto-routing works Closest First or Furthest First from it. Set your sales tax the way your area requires. If you're outside the US, JunkBossPro works in Canada, Australia, New Zealand and the UK, and bills customers in their own currency.

Step 2: Trucks and Crew

Add each truck. Then add each crew member as an employee with their own personal PIN, and assign them to a truck. When they log into the crew app with your company login and their PIN, they'll see their truck's jobs.

If someone helps in the office, add them as an office user with the role that fits what they do. They might need to book jobs and answer texts but not change prices.

Step 3: Your Service List

This is the step worth slowing down on. Add the services you sell with your own prices: single items, truck load fractions, specialty items like mattresses, appliances, hot tubs and pianos, cleanouts, apartment trash-outs, same-day service, and dumpster drops if you offer them. Every estimate and invoice will be built from this list. The full approach is in Building a Junk Removal Service List: Single Items, Truck Loads and Cleanouts.

Decide on your dump fee overage approach now too: how many tons each load includes, and your per-ton rate.

Step 4: Clients and Addresses

If you have a customer spreadsheet, export it as a CSV and import it. Imported addresses are placed on the map automatically. That's covered in CSV Import: Bringing a Junk Removal Customer List Over in One File.

For commercial customers, set up the client once and add each address under it. Set property managers and realtors to Monthly if they should get one statement a month. Add tags like “Realtor” or “Property Manager” to keep them easy to find.

If you don't have a spreadsheet, don't try to enter every past customer today. Add them as they call.

Step 5: Website Forms

Put the request form and the sign-up form on your own website. Requests land in Form Responses, and sign-ups, with their card captured, convert into clients with one click. Late-night requests stop disappearing into an email inbox.

Step 6: Crew Phones

Have each crew member open the crew app in their phone's browser and install it to the home screen. No app store is involved, and it works on iPhone and Android. Have them log in with the company login and their PIN, and show them a test job: the load size, items, haul-to and Go button, access notes, and Start, Skip and Complete.

Step 7: Book Real Jobs

Enter the jobs already promised for the next few days. Put each on a truck and a day, fill in the load size, items, what's going and haul-to, and auto-route each truck. Customers with a mobile number on file will get their alerts, and the crew will see the day in route order.

From here on, new calls go straight into the software, not onto the notepad.

Ready by Morning

Setup isn't about getting every detail perfect. It's about getting trucks, crew, prices and the next few days of jobs in, so tomorrow runs from the software. The rest fills in as you go. What to expect after that is in the next guide. For the big picture, go back to the JunkBossPro junk removal software page.
