Junk Removal Estimates That Turn Into Scheduled Jobs
A junk removal estimate has one job: get a yes. Then it should get out of the way. Too many estimates live in a text message or a separate document, and once the customer says yes, somebody has to type the whole thing in again as a job. In JunkBossPro, the approved estimate becomes the job.
From Alerts to Estimates
The customer side of the day of the job, the alerts, is covered in Night Before, When They're Next, When the Crew Arrives: Customer Alerts for Junk Pickups. This guide goes back to the start, before there's a job at all.
Most junk jobs that aren't a simple single item start as an estimate. The customer describes the pile, maybe texts a few pictures to the office line, and wants to know what it'll cost.
Built From Your Service List
Estimates are built from your own service list, so the lines and prices match what you actually sell. A service list might include:
- Single item pickup
- Quarter, half, three-quarter and full truck loads
- Mattresses and box springs
- Appliances
- Hot tub removal and piano removal
- Shed teardowns
- Estate cleanouts and garage cleanouts
- Apartment trash-outs
- Same-day service
Pick the lines, set the quantities, and the estimate adds them up. Since the prices come from the list, two people in the office quoting the same job get the same number. Building that list is covered in Building a Junk Removal Service List: Single Items, Truck Loads and Cleanouts.
Approved Online
The estimate goes to the customer by email, and they approve it online. No printing, signing, scanning or “just text me yes.” Once they approve, the estimate becomes the scheduled job, with the same lines, the same price and the same address. It shows on the Waiting List until it's booked onto a truck and a day, or it can go straight onto the schedule if you've already agreed on a date.
Nothing gets retyped, so nothing gets mistyped. The price the customer approved is the price on the invoice, plus anything that changes on site, like an extra item or dump fee overage.
Estimate Follow-Up
Some customers approve the same day. Some forget. Estimate follow-up emails remind the ones who haven't answered, without anybody in the office having to remember who to chase. A customer who meant to say yes and got busy gets a nudge. A customer who went with someone else simply doesn't answer, and you can close the estimate out.
Following up matters for junk work because the customer's motivation fades fast. The week they're staring at a full garage is the week they'll book. Two weeks later, they've learned to park in the driveway again.
A quick text from the office can work alongside the follow-up email. Something as simple as “We have a truck near you Thursday, want us to grab that garage?” gives the customer a reason to say yes now. Check the Waiting List map first so the offer is real: if there's already a job nearby that day, the estimate fits neatly into the route.
Keep an eye on estimates that never get answered. If a lot of them are for the same kind of job, the price or the way you describe it may need a second look.
Estimate Templates
If you quote the same kinds of jobs every week, estimate templates save time. A template for a “standard garage cleanout” might start with a half truck load line and an appliance line. A template for “apartment trash-out” might have a three-quarter load and same-day service. Start from the template, adjust for this job, and send. Templates also help newer office staff send consistent estimates without asking the owner every time.
What to Put in the Estimate
A good junk removal estimate makes the price clear and heads off surprises:
- The load or service. “Half truck load” rather than just a number.
- What's included. If the price includes a set weight and heavier loads are billed per ton, say so.
- What's going. A short line describing the items, so you and the customer agree on what the price covers.
- What could change it. “Price may change if the load is larger than described.”
For jobs you can't judge from a description and a couple of pictures, book an on-site estimate visit. That's the next guide.
Faster Yeses, No Retyping
An estimate built from your service list, approved online and turned straight into a job removes the slowest steps between a quote and a scheduled pickup. To see where estimates fit in the full system, go back to the JunkBossPro junk removal software page.
