One Client, Many Addresses: Client Records, Measurements and Reports for Junk Haulers

Every junk job happens at an address, and every address belongs to a client. For a homeowner that's one client and one house. For a property manager it might be one client and forty units. How you set up client records decides how easy it is to book repeat work, bill it, and see what your business is doing.

After the Import

Bringing your list over is covered in CSV Import: Bringing a Junk Removal Customer List Over in One File. Once the clients are in, this is how to make their records useful.

One Client, Many Addresses

A client in JunkBossPro can have as many addresses as they need. The client holds the contact details and billing setup. Each address holds what's specific to that place:

For a property manager, that means one client with every building or unit as an address. When they call about Unit 11, the office picks that address, and the crew sees that unit's notes. All of it rolls up to one client, and if they're set to Monthly, one statement. That's covered in Monthly Accounts for Property Managers and Realtors: One Statement for Every Address.

For homeowners who move, add the new address under the same client. Their history comes with them.

The same idea works for families handling a parent's estate. The adult child who called you is the client, and the parent's house is an address under them. If they later need their own garage cleaned out, that's a second address on the same record. The invoices, the photos and the notes for both jobs are in one place, and the office knows who it's talking to the moment they call.

Measurements on the Property

Each property can carry measurements: haul miles, cubic yards and items. Services can be priced off them. Some ways junk companies use them:

Most companies will price off load size and their service list day to day. Measurements are there when a property needs something more specific.

Tags and Custom Fields

Tags group clients. Common ones for junk removal:

Custom fields hold anything else you want on a client record that doesn't have its own field: how they heard about you, a purchase-order number for a commercial account, the name of the on-site contact at an apartment complex. Keep the list short so people actually fill them in.

Reports

Once clients, jobs and invoices are in the system, reports show what's happening in the business without a spreadsheet. Useful questions to answer:

Tags make reports more useful. If commercial clients are tagged, you can see their share of the work at a glance. Look at reports monthly. Patterns show up over a few months that you'd never notice day to day.

Office Roles and Employees

As the company grows, more people touch client records. Office user roles control what each person can do. Someone answering the phone might need to add clients and book jobs but not change prices or see every report. Employees have their own PINs and truck assignments for the crew app, so crew members see the jobs on their truck without needing office access.

Keeping roles tight protects your client records. When someone leaves, turning off their access takes a moment, and the records stay with the business.

Duplicate Clients

The most common client record problem is duplicates: the same person entered twice, once with a nickname. Duplicates split a customer's history, so the crew misses past notes and you can't see repeat business. Search before adding a new client, and clean up duplicates when you find them.

Records That Pay Off Later

Good client records take a few extra seconds per job and pay off every time a customer calls back. To see how client records connect to scheduling, the crew app and billing, go back to the JunkBossPro junk removal software page.
