Billing a Same-Day Junk Removal Fee as Its Own Line Item
“Can you come today?” is one of the best questions a junk removal company can hear. The customer is motivated, the job is real, and they are usually willing to pay for speed. Whether you charge for that speed, and how you show it on the invoice, makes a difference both to your margin and to how the customer feels about the bill.
Another Way the Price Changes
Adjusting the invoice when the job is bigger than quoted is covered in When the Load Is Bigger Than Quoted: Adjusting the Junk Removal Invoice on Site. A same-day fee is a different kind of change: it is about when, not how much. That makes it a natural fit for its own line.
Why Charge for Same-Day at All
Same-day jobs cost you something. The truck was already routed for the day. Fitting in a new stop means driving out of the way, pushing other customers back, or sending a truck that would otherwise be heading home. A same-day fee covers that. It also does something useful for scheduling: customers who do not really need same-day will often happily book for tomorrow, which keeps your routes cleaner.
Whether to charge, and how much, is your call. Plenty of owners waive it when the job happens to be right on the day's route.
Why a Separate Line Beats a Higher Price
You could just quote a higher load price for same-day jobs. Most owners find a separate line works better:
- It is honest. The customer sees the normal price for the load and the extra for speed.
- It is consistent. A half load is always the same price. Same-day is always the same add-on.
- It is easy to waive. Remove one line instead of re-pricing the job.
- It shows up in reports. You can see how much same-day work you actually do.
Setting It Up
In JunkBossPro, same-day service is simply a service on your service list, alongside your loads, single items and cleanouts. Give it a plain name, such as “Same-day service,” and your price. When a same-day job is booked or quoted, the office adds that line. The approved estimate carries it to the job, and the invoice carries it from the job.
Sales tax applies to it according to your settings. Whether it should be taxed is a question for your accountant.
Fitting Same-Day Jobs Into the Route
Same-day jobs only pay if you can actually get to them. Two tools help:
- The Waiting List map. Every new request that is not booked yet shows on a live map, so the office can see whether today's request is near a truck that is already out.
- Crew GPS. The office map shows where each truck is right now, so you know which crew is closest.
On the dispatch board, the office adds the job to a truck for today and sets its spot in the route order. The crew sees it appear on their list in the crew app, in order, with navigation to the address.
Telling the Customer
Say it plainly when they ask: “We can get you in today. There's a same-day fee of $X on top of the half load, or we can come tomorrow morning at the regular price.” Giving them the choice turns the fee into a service rather than a penalty.
Then keep them posted. The automatic “on the way” and “arrived” texts go out as the crew works the route, so the customer who paid for speed can see it happening. In the customer app, they can watch the crew on the live map.
Same-Day for Accounts
Realtors and property managers ask for same-day more than anyone. A listing photo shoot tomorrow, a new tenant moving in this afternoon. On a Monthly account, the same-day line sits on the statement under the address it applied to, so the manager or realtor can see exactly which job had the rush. Realtor work is covered in Billing Realtors for Listing Cleanouts on One Monthly Statement.
Charging It
A same-day fee is charged the same way as everything else. When the crew taps Complete, the invoice is created and the card on file can be charged. Without a card, the customer pays online from the customer app.
Do Not Let Same-Day Wreck the Rest of the Route
A same-day job is only worth the fee if the customers who booked days ago still get the service they were promised. Before saying yes, check the route: can the truck fit it in without making the afternoon stops late? If the answer is no, offer the first slot tomorrow instead. When a same-day job does push the route back a little, the automatic texts keep the later customers informed, and the live map in the customer app shows them where they stand. A fee that costs you a good review from a regular customer is not a fee worth charging.
Speed Is Worth Billing
A clear same-day line rewards your crew for the extra effort and keeps your normal prices steady. To see it alongside line items, overage and card-on-file charges, visit the JunkBossPro junk removal invoicing software page.
