Skips, Cancellations and Midday Changes in Junk Dispatch
No junk day goes exactly to plan. A customer cancels at 8:15. The crew pulls up to a locked garage. A “half load” turns out to be a full load and a half. Two same-day calls come in before lunch. Dispatch is mostly the job of handling those changes calmly, so the rest of the day keeps moving.
When the Card Says Skip
The Start, Skip and Complete buttons on the crew's phone are covered in What the Junk Crew Sees: The Day in Route Order on the Phone. This guide is what the office does when those buttons don't say Complete.
When a crew can't do a job, they tap Skip and write why. The office sees the skip and the note. That note is the start of fixing it.
Common Skips and What to Do
- Nobody home, inside job. Text the customer right away. If they're close, the crew might come back later in the route. If not, rebook.
- Locked garage or gate. Text for the code. If you get it fast, move the stop later in today's route. Add the code to the access notes so it's there next time.
- Way bigger than quoted. The crew should note what they found and take a photo. The office talks to the customer about the price and books the right truck for the real size.
- Items aren't ready. “Still packing, come back Friday.” Rebook and note it.
- Something the crew won't take. Some items may not be accepted at your dump or transfer station. That's their call and yours. The crew notes it and the office follows up with the customer.
A photo of the locked gate or the oversized pile helps the office explain the skip to the customer without arguing about it.
Cancellations Before the Truck Arrives
When a customer cancels, take the job off today's route or move it to a new day on the board. The crew's phone updates, so nobody drives to a cancelled stop. Write the reason on the job: “Customer cancelled, sold the couch.”
Then look at the gap. A cancellation in the middle of a route is room in the truck and time in the day. Before you fill it, ask the cancelling customer if they want a new day. Many cancellations are really reschedules.
Fill the Gap
Every skip or cancellation opens space. Use it:
- Check crew GPS on the office map to see where the truck is now.
- Look at the Waiting List map for flexible requests near the truck.
- Text a customer: “We have a truck near you in the next hour, want us to grab the recliner today?”
- Add the job to the truck and drop it into the route.
The same habit is in Filling a Half-Empty Junk Truck From the Waiting List, just done in the middle of the day instead of the night before.
When a Job Runs Long
The opposite problem: a cleanout takes two hours longer than planned and the afternoon stops are in trouble. Decide early. If the truck can't reach everyone, pick who moves to tomorrow and text them now, not at 4:30. Or move a small stop to the other truck if it has room. Crews working the remaining stops keep sending on-the-way and arrived texts automatically, and customers watching the live map see their place in line.
Keep One Version of the Day
The biggest risk with midday changes is two versions of the day: what the board says and what the crew was told on the phone. Avoid it by making every change on the board. Move the stop, add the job, re-route. The phone follows. A quick text to the crew lead when something big moves is a good courtesy, but the board is the source.
Learn From the Skips
At the end of the week, look at the skips. Patterns show up. If several were “nobody home,” push more customers to turn on the night-before reminder. If several were “bigger than quoted,” ask better questions on the phone or do more on-site estimate visits for big jobs. Skips are information about how you book.
Change Is the Job
A good junk dispatcher isn't the one whose days never change. It's the one whose changes don't cause trouble. Notes on every skip, changes made on the board, gaps filled from the map. For the rest of the scheduling tools, see the JunkBossPro junk removal scheduling software page.
