Billing Contractors Monthly for Debris Hauls Across Every Job Site
A remodeler with four jobs going at once might call you out eight times in a month: two pickups at the kitchen remodel, a dumpster at the gut job, a few loads at the basement finish. Sending eight invoices means eight things for their bookkeeper to match to eight jobs. One monthly bill that does the matching for them is easier for everyone.
Truck Loads, Dumpsters and the Bill
The pieces that go on a contractor's bill are covered in Dumpster Drops for Contractors: Days Included, Then a Daily Rate and the debris article before it. This one is about putting them together into a bill a contractor actually likes getting.
Set the Contractor to Monthly
In JunkBossPro, set the contractor's client record to Monthly. From then on, jobs completed for them do not each send an invoice. Instead, every job that month goes onto one statement, and each line is labeled with the address it was for.
Because each job site is its own address under the contractor, the statement sorts itself by site:
- 412 Elm St — 3/4 truck load, kitchen demo debris
- 412 Elm St — Dump fee overage (0.28 tons @ $70.00)
- 88 Birch Ct — Dumpster drop and haul, plus extra days at the daily rate
- 1550 Lake Rd — 1/2 truck load, basement framing scraps
- 412 Elm St — 1/4 truck load, final cleanup
The contractor's bookkeeper can see which jobs cost what, and most contractors bill that cost into their own job, so the address labels save them real time.
Job Numbers and PO Numbers
Many contractors track work by their own job number rather than the street address. If they want it on the paperwork, keep it in a custom field so the office has it handy, and consider adding it to the job notes when the job is created. Ask the contractor what their office needs to see. Some want the homeowner's last name, some want a job number, some are fine with the address.
Larger builders sometimes issue purchase orders. Keep the PO number in a custom field on the client, or on the job if it changes per site, so it is there when their office asks.
Prices They Can Plan Around
Contractors build your cost into their bids. They need to know it ahead of time. Give each contractor a short price sheet when you start working together:
- Your truck-load prices, such as $329 for a half truck load and $549 for a full truck load.
- How much weight each load includes, and the per-ton rate over that.
- Dumpster drop price, days included and the daily rate after.
- Any extra charge for same-day pickups.
Keep those prices on your service list so every job is priced the same way. When the contractor gets a statement that matches the price sheet, they keep bidding you into their jobs.
Card on File or Pay Online
Contractors pay in different ways. Some are happy to keep a card on file and have the statement charged on a schedule. Others want to pay online, which they can do in the customer app, where they can also see past invoices and update their card. Others pay by check through their own office. Agree on it before the first statement.
If you are working with a new contractor you do not know yet, a card on file is a reasonable thing to ask for. Smaller remodelers usually do not mind.
When Statements Run Late
Contractors get paid when their customers pay them, and sometimes that slows their own bills down. Past-due follow-up in JunkBossPro handles reminders the same way it does for any invoice. Start friendly. A quick text from the office through two-way texting, “Just checking you got last month's statement,” sorts out most of it.
If a contractor regularly pays late, that is worth a conversation. A card on file charged on a schedule is one fix. Moving them back to pay-per-job with a card charged at completion is another.
Monthly Works Beyond Contractors
The same Monthly setting covers property managers, landlords, realtors and businesses. The statement details for property managers are in One Monthly Statement for Every Address: Billing Property Managers for Junk Removal. Offices and stores that need regular cleanouts can be billed the same way, which is where the next articles go, starting with office furniture.
A contractor's homeowner customers sometimes call you directly afterward for their own junk. Those are regular residential jobs with their own client record, separate from the contractor's account.
